The following programs in PFE allow the entry of work order (WO) type products for use with EliteSeries WMS:

  1. Maintain Inventory Master (IM13) – downloads to Elite WMS include WO type products; this also includes any GTINs applied to the WO product. You can also select the Overpicking Allowed flag on the Stock folder of IM13.

  2. Enter Orders/Quotes (OE30) – WO products can be ordered and are downloaded to Elite WMS via OE32.

  3. Maintain Purchasing Info (PO13) – downloads to EliteSeries WMS include GTINs applied to the supplier/product for WO type products.

  4. Create Purchase Orders (PO40) – allows the entry of WO products.

  5. Enter Receipts/In-Transits (PO60) – WO products can be received in an Elite WMS warehouse.

  6. Download Inventory Master File (WM10) – WO type products are included in the download file.

  7. Purge Archived Transfer Files (WM89) – the WO Elite WMS files are included in the purge.

 

Processing a PFE work order (WO) purchase order in EliteSeries WMS

  1. In PFE, create a PO in PO40 with products consisting of WO type products.

  2. Send the work order PO down to Elite WMS using one of the following options:

    1. In PO40, select the Send to Other Devices option Send To and select the 'Treat this PO as printed?' check box,
      OR
    2. Run PO42.

    When the PO is printed, the following events occur:

    • The PO is sent down to Elite WMS as a WO sales order and not as regular PO.

    • In WMS, the WO sales order is treated as an Outbound Order.

      • The sales order is prefixed by WO and the last 3 digits indicate a document number. For example, a WO sales order number of 000878 becomes WO000878001 in WMS outbound order planning.

      • The order type is set to WO, and the emergency flag is set to 0-Regular.

      • The shipment is set to Production.

  1. Once the pick is completed in Elite WMS, on the PFE side:

    • The PO can be received in PO60.

    • The pick quantities are sent from WMS to PFE for each WO component; all component put-a-ways are also sent from WMS to PFE.

  2. Receive the goods in PFE PO60:

    • POs with WO type products can only be received as 'Receipts'. POs being received with WO type products for an EliteSeries warehouse cannot be received as 'Intransits'.

      • Note: In PO60, you cannot mix Pox that include WO products with POs that include non-WO products on the same receipt.

    • Unlike POs for Elite WMS with non-work order products, once the PO number and line number are entered for the WO product, the Qty Rec field is open and displays the value originally entered for the WO header. You can receive:

      • The same quantity as entered on the PO.
      • More than entered on the PO.
      • Less than entered on the PO.

    • When you click Update Batch in PO60, the WMS logic is triggered to:

      • Receive finished goods in WMS.
      • Reduce the components by the quantity picked in WMS.

      Note: The component consumption records are trigged behind the scenes. The component quantities are relieved by quantities picked, and not calculated by the number of finished goods.

    • PFE sends down records for each finished good, and a record for each component that is to be put back into stock in WMS (put-a-way).

      • A put-a-way is sent if the PO outstanding quantity is greater than 0 and the received quantity is less than or equal to the PO outstanding quantity, or the PO cancelled quantity is greater than 0.

    • In WMS, records are created. The Staging Inventory Receipt view displays the finished goods and put-a-way records (if any) for the WO. Enter the WO in the outbound order field to search for the WO details in the Staging Inventory Receipt view.

  1. Run PO64 to print the receiving register. If there is an outstanding quantity for the PO then the work order with an incremented document number is sent back down to WMS as an Outbound Order.

Cancelling a WO Sales Order in WMS

When a WO sales order is cancelled by WMS, a cancelled status is received in PFE.

If the cancelled PO is recalled in PO40, the following message displays: "Purchase Order XXXXXX was cancelled by EliteSeries WMS. OK".

This message will continue to be displayed in PO40 until the PO is sent back to WMS (creating a WO sales order) by:

  • Reprinting the PO via the Send to Other Devices option Send To and select the 'Treat this PO as printed?' check box,
    OR
  • Running PO42.

Troubleshooting PO34 – WOs in WMS

When an Elite WMS warehouse is selected, you cannot mix WO and non-WO POs in PO34. The following message will display: "You cannot mix 'WO' type products with other product types if the selected warehouse is an EliteSeries controlled warehouse. OK".

Troubleshooting PO40/42 – WOs in WMS

  1. Entering WO Products into a WMS Warehouse:

    • If the WO13 record for the WO product consists of material from a warehouse(s) other than the warehouse currently set in PO40. The following message displays:

      "The entered WO product is composed of material not designated for the current warehouse.
      Selecting 'Yes' will open the material list box and change the material’s warehouse to the currently selected warehouse. Selecting 'No' will clear the WO product.
      Yes/No"

      Clicking No will clear the WO product from PO40.

    • Clicking Yes will open WO13 and change the warehouse designation for the material to the current warehouse on the PO header. For example, the original WO13 record for WO product WOPROD1 consists of two materials:

      • BAT1 from warehouse 02 (non-WMS warehouse)
      • BAT2 from warehouse W1 (WMS warehouse)

      The system changes the warehouse for BAT1 in PO40 to W1:

      Note: Any additional material added for the work order in PO40 will default to the warehouse currently selected in PO40 and not the default warehouse in WO13.

    • You must create separate POs for WO product types and non-WO product types. If you attempt to mix the types, the following error message displays: "You cannon mix 'WO' type products with other product types if the selected warehouse is an EliteSeries controlled warehouse. OK".

    • Once you create a PO for a WMS warehouse and add WO products, you cannot change the warehouse (to WMS or non-WMS).

    • If you have a WO product on a PO for a non-WMS warehouse, you also cannot change the warehouse to an Elite WMS warehouse.

    • In PO40, the production quantity for a WO product must be a positive, whole number. If you enter a fractional, negative or zero value in the production quantity field, the following message will display: "The quantity to produce 1 finished good for material XYZ is 1.xx. Fractional, negative or zero quantities are not permissible in EliteSeries WMS. OK". You must correct the production quantity before you can successfully leave the WO panel in PO40.

  1. Entering WO products with material from a WMS warehouse into a non-WMS warehouse:

    If you are in a non-WMS warehouse and you create a PO for a WO product that contains material assigned to a WMS warehouse, the following message will display: "This Work Order product contains material assigned to an EliteSeries WMS warehouse and cannot be used for non-WMS warehouses. OK".

  2. Recalling/Deleting WO POs:

    You can only recall and delete a PO in PO40 prior to the SO being planned in WMS.

Troubleshooting PO60/64 – WOs in WMS

All of the receiving scenarios in PO60/64 consist of components all picked in WMS. The WO product used in the following examples is set up in WO13 as follows:

  1. The finished good is received exactly as entered on the PO:

    PFE • PO is entered in PO40 for 1 finished good.
    • PO is printed and cleared sending the PO to WMS Outbound orders.
    WMS • Materials completely received.
    PFE • In PO60, finished goods received as entered on PO and batch is updated
    • Finished good sent to WMS for put-a-way.
    PFE • PO64 is run and accepted.

  2. The finished good is short received in PO60 and the remaining finished good is not cancelled:

    PFE • PO is entered in PO40 for 2 finished goods.
    • PO is printed and cleared sending PO to WMS Outbound orders.
    WMS • Materials completely picked.
    PFE • In PO60, 1 finished good is received and 0 are cancelled. The batch is updated.
    • A record is sent from PFE to WMS with a quantity of 1 for the finished good.
    • Two records are sent from PFE to WMS with a quantity of 2 for product WHOOHOO1 and 3 for WHOOHOO2 for components not used.
    • The finished good and material products are sent to WMS for put-a-way.
    PFE • PO64 is run and accepted.
    • New Outbound order is sent to WMS as a second document.
    • At this point there are 2 options (see next step)
    PFE • The PO may be recalled into PO40 and deleted or modified.
    • WO SO can be picked. New records are created in PFE for the second documents.
    • If the WO SO products are picked go to the next step.
    WMS • Materials completely picked.
    PFE • In PO60, the finished good is received.
    • A record is sent from PFE to WMS with a quantity of 1 for the finished good.

  1. The finished good is short received in PO60 and the remaining finished good is cancelled:

    PFE • PO is entered in PO40 for 2 finished goods.
    • PO is printed and cleared sending PO to WMS Outbound orders.
    WMS • Materials completely picked.
    PFE • In PO60, 1 finished goods received and 1 is cancelled and the batch is updated.
    • A record is sent from PFE to WMS with a quantity of 1 for the finished good.
    • The finished good and material products sent to WMS for put-a-way.
    PFE • PO64 is run and accepted.

  2. More finished goods were made than originally entered on the PO:

    PFE • PO is entered in PO40 for 2 finished goods.
    • PO is printed and cleared sending PO to WMS Outbound orders.
    WMS • Materials completely picked.
    PFE • In PO60, 3 finished goods are received and the batch is updated.
    • A record is sent from PFE to WMS with a quantity of 3 for the finished goods.
    • The finished good products sent to WMS for put-a-way.
    PFE • PO64 is run and accepted.

  3. All components picked in WMS but nothing is received in PO60:

    PFE • PO is entered in PO40 for 1 finished good.
    • PO is printed and cleared sending PO to WMS Outbound orders.
    WMS • Materials completely picked.
    PFE • In PO60, 0 finished goods received and 0 are cancelled and the batch is updated.
    • A record is sent from PFE to WMS with a quantity of 0 for the finished good.
    • A record is sent from PFE to WMS for component WHOOHOO1 for 2 and WHOOHOO2 for 3. • Finished good product and components sent to WMS for put-a-way.
    PFE • PO64 is run and accepted.
    • New WO SO sent to WMS Outbound orders.

  4. Short picking in WMS - Components are short shipped proportionality

    PFE • PO is entered in PO40 for 2 finished goods.
    • PO is printed and cleared sending PO to WMS Outbound orders.
    WMS • 2 units are short shipped for Component WHOOHOO1.
    • 3 units are short shipped for Component WHOOHOO2.
    PFE • In PO60, 1 finished goods received and 0 are cancelled and the batch is updated.
    • A record is sent from PFE to WMS with a quantity of 1 for the finished good. • Finished good product sent to WMS for put-a-way.
    PFE • PO64 is run and accepted.

  5. Components are short shipped disproportionately:

    PFE • PO is entered in PO40 for 2 finished goods.
    • PO is printed and cleared sending PO to WMS Outbound orders.
    WMS • 1 unit is short shipped for Component WHOOHOO2.
    PFE • In PO60, 1 finished good is received and 0 are cancelled and the batch is updated.
    • A record is sent from PFE to WMS with a quantity of 1 for the finished good.
    • A record is sent from PFE to WMS for component WHOOHOO1 for 2 and WHOOHOO2 for 2. • Finished good product and components sent to WMS for put-a-way.
    PFE • PO64 is run and accepted.
    • New WO SO sent to WMS Outbound orders.
