Call Types (SE14)
The Call Types (SE14) program is used to maintain different types of calls. Every Service Call entered in Enter Service Calls (SE30) must be assigned a Call Type code.
- SE14 controls whether the call being entered is an estimate or a preventative maintenance call type. For additional information on Estimates and PM calls, see the appropriate section in the Overview: Using the Service Module document.
- SE14 also sets the default TAT code that is used when entering the parts used on the SE30 Parts folder.
- Note: The 'Call Type' field in Company Control Initialization (CC00)/Service/Repair is populated with the Call Types entered in SE14.
The following list defines every field in SE14:
- Call Type - enter or select from the query a Call Type code. You can enter a maximum of 2 alpha numeric characters in this field. This is a mandatory field.
- Call Type Description - enter a Description of the call type. You can enter a maximum of 20 alpha numeric characters in this field. This is a mandatory field.
- Call Category Column - enter or select from the query the Call Category Column. Call category columns are maintained in the 'Call Type Category Descriptions' section of CC00/Service/Repair. The Call Category Column is used to categorize calls for the Technician Activity (SE50) report, which prints the number of calls performed by each technician broken down by Call Category.
- Default TAT Code - enter or select from the query a TAT code for this Call Type. The Parts folder in SE30 will default to this TAT Code for any service calls that are assigned this Call Type. You can override the TAT code field in SE30.
- Estimate Only - select this check box if the current Call Type is for estimates only.
- If a Call Type that is flagged as Estimate Only is selected for a Service Call in SE30, the entire service call is treated as a quote. Parts, Time and Other Charges may be entered, and the estimate may be printed as any regular open call by Print Service Calls (SE34) or SE30.
- If the estimate is approved by the customer, the Call Type for the Service Call will be changed to a non-estimate type and then the call is treated as a regular billable call.
- Any parts, time or other charges entered as part of the estimate will remain on the open call. A service call with an Estimate Only call type may be closed, but the in Invoice Listing and Creation (SE42) program will not generate an invoice and the only update done is to the files used by Display Call History (SE45).
- Note: You cannot flag a call type as an estimate and
preventative maintenance. You can only assign one option or the other, not both.
- Preventative Maintenance - select this check box if the current Call Type is for preventative maintenance. Only Service Calls with a Call Type flagged as a Preventative Maintenance type are allowed to access the PM folder in SE30. This field is only available when the Contract module is installed.
