1. Full/Partial Count Using Count Sheets Produced by PI08

PI01 - Initialize the Physical Inventory (PI) Files. Forward any reported issues to PointForce Enterprise - Support.

PI02 - Set up count cycles (optional and applicable to Partial counts only).

PI04 - Define at least 1 count area that is a range of bin locations or count cycles.

PI05 - Print count section listings (optional).

PI07 - Run to prepare the Sort File used to print the count sheets. If you choose sort by bin location = Y, then PI12 will prompt for entry of the bin location.

PI08 - Print the count sheets with skeleton records.

PI10 - Freeze the Inventory once all movement has been processed. This program is not mandatory, but you are strongly encouraged to run it. Note: You can enter counts in PI12 prior to running the Freeze program.

IC81 - To retain a 'before' snapshot of your Inventory, print a Detailed Inventory Evaluation (do not suppress any levels of Detail).

PI11 - Before you can begin entering counts in PI12, you must first identify the count area and page number of the count sheet page that you are about to enter. That combination of count area/page number must exist in PI11. PI08 automatically writes these records as a by-product of printing the count sheets.

PI12 - Because skeleton records exist, once you enter the count area and page number the screen is populated with zero-quantity count records for all products on that count sheet page. You will not be required to enter the bin/lot/serial number (if using) or product code, just the count Quantity.

PI13 - Print physical count listings (optional).

PI18 - Print the File vs. Physical Listing as many times as required until you are satisfied with the count variances. The last print of this report must be flagged as Final or else PI19 will NOT run. If 'partial count', only products with count records in the count file are reported. If 'full count', ALL products are processed but not reported if book quantity and count quantity are zero.

BACKUP - We strongly recommend that you run a full backup prior to running PI19.

PI19 - Transfer Physical to Book and clear the PI files.

IC81 - Print an Inventory Evaluation for an 'after' count snapshot of your Inventory.

2. Full/Partial Count Using Count Sheets Produced Outside of the PI System

PI01 - Initialize the PI Files. Forward any reported issues to PointForce Enterprise - Support.

PI02 - Set up count cycle (optional and applicable to partial count only).

PI04 - There must be at least 1 count area defined.

PI07 - You will run or skip the Sort program depending on whether or not you will be entering bin locations in PI12. There are no 'skeleton' records in the count file for this scenario (because PI08 will be skipped). You will enter the bin locaton (if applicable), product code, lot/serial (if applicable) and the count quantity. The following table outlines the options available:

Prompt Bin Location in PI12? What to do in PI07 What will happen in PI12
    N Run PI07
    Sort by Bin Location=N
Bin location field is disabled. Bin location will default to 'blank'.

You do not have to Tab through the bin location field in PI12. If the product already exists on another page with the same bin location (including 'blank'), then the program will prompt you to go to that page and add the counts together.
    Y Run PI07
    Sort by Bin Location=Y

    OR

Skip PI07; Sort by Bin Location not selected but follows path=Y
Bin location field is enabled. You will enter the bin location for each count record.

You can Tab through the bin location field in PI12. If a product is counted in the same bin (including 'blank') on more than one count sheet, then you can either add the counts together under that bin or enter a dummy bin location for the subsequent counts and they will be added together in PI18/PI19.

PI08 - SKIP printing count sheets.

PI11 - Before you can begin entering counts in PI12, you must first identify the count area and page number of the count sheet page that you are about to enter. That combination of count area/page number must exist in PI11. (If count sheets had been printed by PI08, then those record are automatically written.) Build a record for each count Area/page number combination that will be required by PI12.

PI12 - Because skeleton records DO NOT exist, you are required to enter the bin/lot/serial number (if using) and product code before you can enter the count quantity. If a product is on more than one count sheet page, then entry of a unique bin Location will allow entry of that product on multiple pages. If a product already exists on another page with the same bin Location (including bin Location="blank"), you have the option to automatically go to that page and combine the count quantities.

3. Full/Partial Count Using Coded, Numbered Tags Produced by PI09/Format 2
PI01 - Initialize the PI Files. Forward any reported issues to PointForce Enterprise - Support.

PI02 - Set up count cycles (optional).

PI04 - Define at least 1 count area that is a range of bin locations or count cycles.

PI05 - Print count section listings (optional).

PI07 - Run to prepare the Sort File used to print the tags.

PI09 - Use Format 2, 'Print Coded Numbered Tags', to print coded, numbered tags. Skeleton records are automatically written to the count file for each tag. Tags are numbered sequentially from the starting tag number entered in PI07.

PI11 - You should be able to SKIP this program. Tag number ranges for each count area are recorded in PI11; PI09 automatically writes the tag range records as a by-product of printing coded, numbered tags. These tag ranges are used to prepare the Missing Tags report.

PI12 - Because skeleton records exist, once you enter the count area the screen is populated with zero-quantity count records for all tags in that count area. You will not be required to enter the bin/lot/serial number (if using) or product code, just the count quantity.

PI14 - Print Missing Tags Report, is not applicable because skeleton records exist for all tags; tags that were never physically entered in PI12 are not reported as missing because the skeleton records give the appearance of having been counted as zero.

4. Full/Partial Count Using Blank, Numbered Tags Printed in PI09/Format 1

Note: If you are using a multi-bin warehouse or lot/serial control, then you must run a FULL count; a partial count will get stuck in PI12 for these environments because skeleton records do not exist. If you are using a single-bin warehouse and no lot or serial control, then you can perform a partial count with blank, numbered tags.

PI01 - Initialize the PI Files. Forward any reported issues to PointForce Enterprise - Support.

PI02 - Set up count cycles (optional and applicable to partial count only).

PI04 - Define at least 1 count area that is a range of bin locations or count cycles.

PI05 - Print count Section Listings (optional).

PI07 - The action taken in PI07 depends on if you will be entering bin locations in PI12. In this scenario you will be printing blank, numbered tags in PI09. PI09 writes the tag numbers into the PIBL file; file PIBL is read by PI12 and triggers auto-prompting the tag number. You cannot stop PI12 from auto-prompting the next tag number in this scenario (which means that you have to pre-sort your tags into tag sequence before you enter the counts). There are no 'skeleton' records in the count file for this scenario. You will enter the bin location (if applicable), product code, lot/serial (if applicable), and the count quantity. The following table outlines the options available:

    Prompt
    Next Tag
    Prompt Bin
    Location
What to do in PI07 and PI09 What will happen in PI12
    Y Y Run PI07
    Sort by Bin Location=Y
Enter starting tag no.; PI07 will determine how many tags will be used and will 'reserve' them.

Run PI09, Format 1-Print Blank Numbered Tags
Bin Location field is enabled. Reserved range of tag no.'s written to PIBL (by PI07 & PI09) is read by PI12 and triggers the next tag no. to be auto-prompted.
    Y N Run PI07
    Sort by Bin Location=N
Enter starting tag no.; PI07 will determine how many tags will be used and will 'reserve' them.

Run PI09, Format 1-Print Blank Numbered Tags
Bin Location field is disabled. Reserved range of tag no.'s written to PIBL (by PI07 & PI09) is read by PI12 and triggers the next tag no. to be auto-prompted.
N N You can stop prompting for bin location but cannot stop auto-prompting of the next tag no.

    Run PI07
    Sort by Bin Location=N

Run PI09, Format 1-Print Blank Numbered Tags
    Bin Location field is disabled.

PI07 and PI09 both write records to PIBL which triggers auto-prompting of the tag no. in PI12.
N Y You cannot stop auto-prompting auto-prompting of the next tag no.

    Run PI07
    Sort by Bin Location=Y

Run PI09, Format 1-Print Blank Numbered Tags
    Bin location field is enabled.

PI07 and PI09 both write records to PIBL which triggers auto-prompting of the tag no. in PI12.

PI09 - Use Format 1, Print Blank Numbered Tags, to print blank numbered tags. You will be prompted to enter the desired range of tag numbers; this dictates how many tags will be printed. No skeleton records are written to the count file because we do no know what product will be counted on which tag.

PI11 - Build a record for all of the tag ranges for each count area that will encompass all tags that will be entered in PI12. These tag ranges are used to prepare the Missing Tags report.

PI12 - Because skeleton records DO NOT exist, you are required to enter the bin/lot/serial number (if using) and product code before you can enter the count quantity. You are required to enter the tag number for the first tag you enter and then the program will automatically display the next tag number (up to the number of blank tags printed in PI09). Note: For multi-bin tag count, you cannot count the same product in the same bin location on different tags.

PI14 - Print Tag Audit Reports (optional). Format 3, Missing Tags Listing, compares the tag numbers entered in PI12 to the tag ranges entered in PI11 and reports tag numbers not counted.

5. Full/Partial Count Using Purchased Tags (Preprinted and Numbered)

Note: If you are using a multi-bin warehouse or lot/serial control, then you must run a FULL count; a partial count will get stuck in PI12 for these environments because skeleton records do not exist. If you are using a single-bin warehouse and no lot or serial control, then you can perform a partial count with purchased tags.

PI07 & PI09 - The action taken in PI07 and PI09 depends on if you will be entering bin locations in PI12 and if you want PI12 to auto-prompt the next tag number (which means that you have pre-sorted your tags into tag sequence before you enter the counts). There are no 'skeleton' records in the count file for this scenario. You will enter the bin location (if applicable), product code, lot/serial (if applicable) and the count quantity. The following table outlines the options available:

    Prompt
    Next Tag
    Prompt Bin
    Location
What to do in PI07 and PI09 What will happen in PI12
    Y Y Run PI07
    Sort by Bin Location=Y
Enter starting tag no.; PI07 will determine how many tags will be used and will 'reserve' them.

    Skip PI09
Bin Location field is enabled. Reserved range of tag no.'s written to PIBL (by PI07) is read by PI12 and triggers the next tag no. to be auto-prompted.
    Y N Run PI07
    Sort by Bin Location=N
Enter starting tag no.; PI07 will determine how many tags will be used and will 'reserve' them.

    Skip PI09
Bin Location field is disabled. Reserved range of tag no.'s written to PIBL (by PI07) is read by PI12 and triggers the next tag no. to be auto-prompted.
    N Y Skip PI07
Sort by Bin Location not selected but follows path=Y

Run PI09, Format-1 Print Blank Numbered Tags; print 1 tag to screen or else PI12 will not open.
Bin Location field is enabled. No list of reserved tag no.'s in PIBL (from PI07); PI12 does not auto-prompt next tag no.
N N Cannot be 100% accomplished. To stop auto-prompting of next tag no., you need to skip PI07 but then you do NOT get a chance to set Sort by Bin Location=N.

    Skip PI07

Run PI09, Format-1 Print Blank Numbered Tags; print 1 tag to screen or else PI12 will not open.
Tag no. will not be auto-prompted.
Bin Location field is enabled but you can Tab through it or enter a dummy bin location.

PI11 - Build a record for all of the tag ranges for each count area that will encompass all tags that will be entered in PI12. These tag ranges are used to prepare the Missing Tags report.

PI12 - Because skeleton records DO NOT exist, you are required to enter the bin/lot/serial number (if using) and product code before you can enter the count quantity. If you ran PI07, you are required to enter the tag number for the first tag you enter and then the program will automatically display the next tag number (up to the tag number reserved by PI07 sort). If PI07 was not run, then you must enter the tag number for each count record. Note: If you count the same bin/product record on different tags, you do not get a warning, rather the records will be added together in PI18/PI19.

PI14 - Print Tag Audit Reports (optional). Format 3, Missing Tags Listing, compares the tag numbers entered in PI12 to the tag ranges entered in PI11 and reports tag numbers not counted.
