Physical Inventory - Example Count Scenarios
1. Full/Partial Count Using Count Sheets Produced by PI08
PI02 - Set up count cycles (optional and applicable to Partial counts only). PI04 - Define at least 1 count area that is a range of bin locations or count cycles. PI05 - Print count section listings (optional). PI07 - Run to prepare the Sort File used to print the count sheets. If you choose sort by bin location = Y, then PI12 will prompt for entry of the bin location. PI08 - Print the count sheets with skeleton records. PI10 - Freeze the Inventory once all movement has been processed. This program is not mandatory, but you are strongly encouraged to run it. Note: You can enter counts in PI12 prior to running the Freeze program. IC81 - To retain a 'before' snapshot of your Inventory, print a Detailed Inventory Evaluation (do not suppress any levels of Detail). PI11 - Before you can begin entering counts in PI12, you must first identify the count area and page number of the count sheet page that you are about to enter. That combination of count area/page number must exist in PI11. PI08 automatically writes these records as a by-product of printing the count sheets. PI12 - Because skeleton records exist, once you enter the count area and page number the screen is populated with zero-quantity count records for all products on that count sheet page. You will not be required to enter the bin/lot/serial number (if using) or product code, just the count Quantity. PI13 - Print physical count listings (optional). PI18 - Print the File vs. Physical Listing as many times as required until you are satisfied with the count variances. The last print of this report must be flagged as Final or else PI19 will NOT run. If 'partial count', only products with count records in the count file are reported. If 'full count', ALL products are processed but not reported if book quantity and count quantity are zero. BACKUP - We strongly recommend that you run a full backup prior to running PI19. PI19 - Transfer Physical to Book and clear the PI files. IC81 - Print an Inventory Evaluation for an 'after' count snapshot of your Inventory.

The last print of this report must be flagged as Final or else PI19 will NOT run. If 'partial count', only products with count records in the count file are reported. Note: You can enter counts in PI12 prior to running the Freeze program. IC81 - To retain a 'before' snapshot of your Inventory, print a detailed Inventory Evaluation (do not suppress any levels of Detail). PI11 - You should be able to SKIP this program. Tag number ranges for each count area are recorded in PI11; PI09 automatically writes the tag range records as a by-product of printing coded, numbered tags. These tag ranges are used to prepare the Missing Tags report. PI12 - Because skeleton records exist, once you enter the count area the screen is populated with zero-quantity count records for all tags in that count area. You will not be required to enter the bin/lot/serial number (if using) or product code, just the count quantity. PI14 - Print Missing Tags Report, is not applicable because skeleton records exist for all tags; tags that were never physically entered in PI12 are not reported as missing because the skeleton records give the appearance of having been counted as zero. PI18 - Print the File vs. Physical Listing as many times as required until you are satisfied with the count variances. The last print of this report must be flagged as Final or else PI19 will NOT run. If 'partial count', only products with count records in the count file are reported. If 'full count', ALL products are processed but not reported if book quantity and count quantity are zero. BACKUP - We strongly recommend that you run a full backup prior to running PI19. Note: If you are using a multi-bin warehouse or lot/serial control, then you must run a FULL count; a partial count will get stuck in PI12 for these environments because skeleton records do not exist. If you are using a single-bin warehouse and no lot or serial control, then you can perform a partial count with blank, numbered tags.

You cannot stop PI12 from auto-prompting the next tag number in this scenario (which means that you have to pre-sort your tags into tag sequence before you enter the counts). There are no 'skeleton' records in the count file for this scenario. You will enter the bin location (if applicable), product code, lot/serial (if applicable), and the count quantity. The following table outlines the options available:
PI09 - Use Format 1, Print Blank Numbered Tags, to print blank numbered tags. You will be prompted to enter the desired range of tag numbers; this dictates how many tags will be printed. No skeleton records are written to the count file because we do no know what product will be counted on which tag. PI11 - Build a record for all of the tag ranges for each count area that will encompass all tags that will be entered in PI12. These tag ranges are used to prepare the Missing Tags report. PI10 - Freeze the Inventory once all movement has been processed. This program is not mandatory, but you are strongly encouraged to run it. If you are using a single-bin warehouse and no lot or serial control, then you can perform a partial count with purchased tags.
