Order Holds Overview

If Order Management is not initialized, an Order put on hold for any reason will reserve stock but will not be scheduled for printing by Schedule Orders for Printing (OE32) until the hold condition has been resolved.

If Order Management is initialized, Manual Allocation Override (OM30) will try to allocate stock to an Order that is on hold. For credit and delinquency holds, the Order may have a higher weighting (which translates to a lower allocation priority) depending upon the credit and delinquency weightings defined in Company Control Initialization (CC00/Order Entry). In that scenario, stock allocated to an Order that is on credit or delinquency hold may be re-allocated to a new Order with no credit issues the next time OM30 is run.

Credit, Delinquency and Below Minimum Order violations detected in Enter Orders/Quotes (OE30) display a warning message and offer the operator the following options when completing Order:

  • Modify - returns the operator to the body of the Order to add, delete or modify detail lines such that the hold condition will no longer exist.
  • Release - releases the Order IF the operator is authorized to do so (a program password must be entered).
  • Hold - sets the Order hold.

Held Orders may be reported on demand using Print Order Hold File (OE53). This prints in hold type sequence, page breaks at a change in hold type and may be restricted to a selected hold type in case the report needs to be split and distributed to various managers based on type of hold.

Held Orders are displayed and released by Release Orders on Hold (OE65).

Below Minimum Order Value:

  • Once an Order is entered, the Total Shippable Value or Total Outstanding Value (depending on the 'Min. Order Method' setting in CC00/Order Entry) is compared to the 'Minimum Order Value' defined in CC00/Order Entry. If that value is less than the Minimum Order Value, a warning message is displayed and the operator has the option to Modify, Release or Hold the Order. The hold remains until released in OE65 or until Product is added to the Order to raise the Total Order Value above the Minimum Order Value or if another shippable order is entered for this customer/ship-to, then the held order will be automatically released by Order Scheduling so they can be shipped together. Below Minimum Backorder Value:

This hold gets set if the Total Shippable Value or Total Outstanding Value (depending on the 'Min. Order Method' setting in CC00/Order Entry) of a released back order is less than the 'Minimum Backorder Value' defined in CC00/Order Entry. The hold can be released in several ways:

  • Manually released in OE65.
  • Bulk released using the Auto Release option in OE65. This option will trigger the release of all held back orders that have been on Minimum Backorder Hold for "X" number of days.
  • Automatically released when more back ordered lines are released to bring the shippable value of the backorder above the Minimum Backorder Value.
  • Automatically released when the last line(s) on a back order become shippable, no matter what the shippable value is.
  • If a new Order is entered (or a different back order becomes shippable) for a customer that has back orders on Minimum Backorder Hold, all of those held back Orders are automatically released so that they can be picked/shipped with the new Order, thereby incurring less freight expense.

Ship Complete:

This hold gets set if the Ship Complete flag is set in the Order header and some of the detail lines on the Order are back ordered. The Order is held until:

  • The Order is manually released in OE65.
  • The Order is recalled in OE30 and the Ship Complete flag turned Off.
  • The Order is automatically released when the last back order line becomes shippable.

Credit Limit Violation:

Upon completion of entering an Order, the Customer's credit status is checked. If their Outstanding Receivable Balance plus the Shippable Value of all outstanding Orders (including the Order being entered) exceeds the Customer's credit limit, then a warning message is displayed and the operator has the option to Modify, Release or Hold the Order.

Notes:

  • This test is done using the customer's Paying Office.
  • If the Customer's credit limit = 0, then the credit violation test is not performed.
  • This test is not performed in Enter Inv/Direct Bills/Credits (IN41/Dirbl) because Direct Bills are after the fact; the expectation is that the customer already has the goods.
  • In Enter Cash Counter Invoices (RS41), when the Shippable Value of product sales (not including supplementary charges and taxes) violates the credit check, then the operator will be prompted with the following message: "Customer is over credit limit or delinquent. Accept CASH ONLY". There is an option to proceed anyway but a password from Maintain Override Passwords (CC04) is required to do so.

The Order is held until:

  • The Order is manually released in OE65.
  • Product is deleted from the Order to bring their credit status to below their credit limit.
  • If the Customer's account has changed such that they are no longer in credit violation (for example, payment has been received or their credit limit was raised), then once the Order Hold Report (OE53)is accepted, any Orders on credit hold for that Customer will be automatically released. Those Orders are identified with the word "Release" printed on the report.

Note on Back Orders: The Customer's credit status is checked for every shipment. It could be that the first shipment went through fine but they are in credit violation at the time a back order is ready to be shipped; or it could be that with the first shipment they were in credit violation, the credit hold was released and the first shipment goes out. When stock comes in and the back order is released, the Customer's credit status is re-examined and if they are still in violation, then the credit hold will be put back on.

Delinquency Violation:

Upon completion of entering an Order, the Customer's delinquency status is checked. If their calculated delinquency days (based upon the oldest outstanding Debit item) exceeds the Customer's 'Maximum Delinquency Days' set in Maintain Customer Master (SU13), then a warning message is displayed and the operator has the option to Modify, Release or Hold the Order. Note: This test is done using the customer's Paying Office. The Order is held until:

  • The Order is manually released in OE65.
  • If the Customer's account has changed such that they are no longer in delinquency violation (for example, payment has been received or their Maximum Delinquency Days in SU13 was raised), then upon acceptance of the Order Hold Report (OE53) any orders on delinquency hold for that customer will be automatically released. Those Orders are identified with the word "Release" printed on the report.

Note on Back Orders: The Customer's delinquency status is checked for every shipment. It could be that the first shipment went through fine but they are in delinquency violation at the time a back order is ready to be shipped; or it could be that with the first shipment they were in delinquency violation, the delinquency hold is released and the first shipment goes out. When stock comes in and the back order is released, the Customer's delinquency status is re-examined and if they are still in violation, then the delinquency hold will be put back on.

Manual Hold:

Manual Holds are set by one of the following methods:

  1. By the operator in OE30.

  2. If a printed Order is recalled in OE67, the Order is automatically put on manual hold.

  3. If a pricing violation is detected (if flagged to do so in CC00/Order Entry/Order Review Selection Parameters), a manual hold will be set.

  4. If there is a problem generating an order/order line by the Auto-Order Generate program (EDI, Order Stream, e-Commerce orders, Confirm Warehouse Transfers) then the order will be put on manual hold.

The Order is held until:

  • The Order is manually released in OE65.
  • The Order is recalled in OE30 and the Manual Hold flag is turned off.
  • The Order is automatically released in OE65 using the Auto Release button, which prompts for a Release Up To date. If the entered Release Up To date is greater than the Manual Hold Release Date assigned to the order in OE30, then the manual hold will be automatically released. If no Manual Hold Release Date was assigned to the order, then the manual hold will not be automatically released.

Pricing Hold:

This hold gets set due to a Gross Margin Violation or a Discount Violation. For Gross Margin Violations, if the overall Gross Margin on an Order is below the desired GM specified in CC00/Order Entry/Order Review Selection Parameters and the "Put on Manual Hold" flag is set in that parameter record, then a Pricing Hold is set. Discount Violations use parameters defined in Maintain Discount Limits (OE04) to flag an order line for Discount Review or set a Pricing Hold. The order is held until:

  • The Order is manually released in OE65.
  • The Order is manually released in OE62 after reviewing an order flagged for pricing review.
