My Views
Every user has a 'My Views' folder available to them.
- The My Views folder provides a link to all views personalized by the user currently logged into iTopia. At the same time, users can add frequently used views into their My Views folder using the "drag and drop" feature outlined below.
- My Views is a quick and easy way to navigate to personal views. Personal views have unique names, in other words not the same as the Corporat view name.
- If you make changes to a Corporate view, and save the view as the same name (by clicking 'Save' or 'Submit' when the changes are complete) the view is not saved into My Views.
- You can add Corporate views to your My Views folder using the "drag and drop" feature. Simply click on a view and then drag the view to the My Views folder (bottom left corner of the window). With the view name hovering over the My Views folder, release the view by 'unclicking' the mouse. The view name will still be visible on the original menu, but a copy now resides under the My Views folder.
- Having frequently used system views in your My Views folder allows you to access these views easily.
- Each user's My Views folder is automatically created at the same time the user record is created, and when a user record is deleted, the associated My Views folder is automatically deleted.
- Recycle icon displays once the My Views folder is opened. You can remove views from your My Views folder without deleting them by dragging the view to this icon. The views can still be accessed by entering the view or resource name in the Search field. To remove a Personalized view completely from iTopia you must use the Delete action button on the Personalization pages of the view itself. You can remove Corporate views from your My Views folder using the Recycle icon BUT you cannot delete Corporate views.
- The My Views folder can be maintained the user using any of the following options:
- In the User Resource Group view found under the System Administration menu.
- Under the Profile option on the Header Toolbar (at the top of any view).
- By clicking on the My Views menu heading, which opens the User Resource Group view.
- The User Resource Group view provides information on the resources in the user's My Views folder.

This resource opens a modified version of the Resource Master-Group Item for the user currently logged in. The User Resource Group view includes the Parent Resource Name, English Text, Sequence, Child Resource Name and Overridden Description. The Overridden Description is only populated for Personalized views that were save using the Save As action button.
- The user can view, create, update, delete and export data for their My Views resources only.
- The Create action button enables you to create a resource that will display in the My Views folder. When yo click on Create, a new User Resource Group page opens that contains the Parent and Child Resource Name fields. The Parent Resource Name entered is always user_user id_menu. The Child Resource Name is the resource name of the view that you wish to add to the My Views menu. This could be the resource for a Corporate view or a Personalized view that you have removed from you My Views menu by dragging it to the Recycle action or deleting through the User Resource Group. Once the Continue action button is clicked, a new page displays allowing you to enter a sequence number. The next available sequence number is automatically generated. If the sequence number is not modified, the new Child Resource displays as the last item on your My Views folder.
- When updating information in the User Resource Group view, only the 'Sequence' field can be updated. You can update this field directly in the Search Results grid OR by using the Update Field option (from the Use Record as Criteria for Action or Use Selected Records as Criteria for Action actions) OR through Edit with Excel.
- Using the Delete option from the 'Use Record as Criteria for Action'/'Use Selected Records as Criteria for Action' OR the Delete action button on the Record Details page does NOT delete the resource from iTopia. You can still recall the view by entering the view or resource name in the Search field. Corporate views that were dragged into your My Views folder can still be accessed from their original menu position.
