Sales Reps (SU09)
The Sales Reps (SU09) are defined in SU09 and are assigned to Customers or Prospects in Customer Master (SU13). You can also assign Sales Rep (SU09) codes to Leads in the Lead Master-Complete Entry and Lead Master-Quick Entry views. This enables Customers to be reviewed and reports to be printed in Sales Rep/Customer sequence. The Sales Rep assigned to an Invoice is used to extract the appropriate Commission Rate.
- The 'Sales Rep' is made up of a Rep Group and a Sales Rep Code. The 'Rep Groups' are defined in SU09/Sales Rep Groups. The length of both fields is determined during your initial Enterprise set up. The Rep Group/Sales Rep combination can be a maximum of 8 alpha-numeric characters in length. Note: The Sales Rep field length can be from 4 to 7 characters and is displayed in Maintain Company (CC95). If a Sales Rep has a length of 6 and the total length of the Rep Group/Sales Rep is 8, then the Rep Group can be maximum of 2 characters in length.
- Note: A Sales Rep can be assigned to multiple Rep Groups.
Note: The ability to create and update information in Sales Reps (SU09) is controlled by the permissions (create, read, update and delete) assigned to the resource within the role. The following fields are available on the Sales Rep (SU09) view and are based on the order in which they appear in the grid on the search page:
- Company - every record in the PointForce iTopia SQL database includes the Company Number. When reviewing the results from your search, the Company number will display for all Customer records. Note: You cannot modify the Company number field in the grid.
- Rep Group - displays the Rep Group to which the Sales Rep belongs. The Rep Groups are defined in Sales Rep Groups (SU09). You cannot modify this field in the grid.
- Sales Rep Code
- displays the Sales Rep Code. The Sales Rep field length is defined in CC95. You may use an alpha-numeric combination. Each Customer is assigned a Sales Rep code in SU13, which becomes the default Sales Rep code on all new Sales Orders and Invoices. (This default can be overridden in OE30, IN41 and RS41.) The Sales Rep code is used to extract the appropriate Commission Rate and capture Commission statistics. You cannot modify this field in the grid.
- Sales Rep - displays the Rep Group/Sales Rep Code combination. You cannot modify this field in the grid.
- Salesrep Name - displays the Sales Rep Name. The name can be a maximum of 20 alpha numeric characters in length. The Sales Rep Name prints as a report sub-heading whenever an Account Receivable or Sales Analysis report is printed in Sales Rep sequence. You can edit this field directly in the grid.
- AP Vendor Code - displays the Vendor code associated with this Sales Rep. Sales Reps can be set up as Vendors in Maintain Vendors (AP13) in order for their Commission to be run in an AP batch and a cheque prepared automatically. This interface occurs upon acceptance of the Unpaid Commission Report (SA56). You can edit this field directly in the grid.
- If you enter an AP Vendor Code that does not have a GL Account assigned to it in AP13, the following message displays: "AP Vendor Code: This vendor does not have a GL Account for Distribution. Please add the GL Account through AP13 or choose another vendor."
- Invoice Copy Required Flag - displays whether printed copies of Invoices are required for the Sales Rep. You can edit this field directly in the grid.
- You can print the Sales Rep's copy of the Invoice through Print Sales-Rep Copy (IN51). Note: Invoice copies print for the Primary Salesrep only.
- E-Mail Address - displays the Sales Rep's E-mail address. When IN51 is set up to 'print' to E-mail, the Sales Rep's E-mail address entered here is the destination to which the Invoice is sent. You can edit this field directly in the grid.
- Sales Manager - displays the Sales Manager associated with the Sales Rep. Your can edit this field directly in the grid.

Sales Rep (SU09) - Details Page
When you click on the View Record Details icon for a specific record on the Sales Rep (SU09) Search Results/Grid page, the Sales Rep Detail page opens for that record.
The following list defines every field in the Details page:
- In the Main Context section, the Company, Rep Group and Sales Rep Code display as reference information for the detail record you are viewing.
- In the General section:
- Sales Rep Name - displays the Name associated with the Sales Rep code. The Sales Rep Name is a mandatory field. The Name can be a maximum of 20 alpha numeric characters in length. The Sales Rep Name prints as a report sub-heading whenever an Accounts Receivable or Sales Analysis report is printed in Sales Rep sequence.
- AP Vendor Code - displays the AP Vendor Code associated with the Sales Rep. You can enter or select from the lookup another Vendor Code as required. Sales Reps can be set up as Vendors in Maintain Vendors (AP13) in order for their Commission to be run in an AP batch and a cheque prepared automatically. This interface occurs upon acceptance of the Unpaid Commission Report (SA56).
- If you enter an AP Vendor Code that does not have a GL Account assigned to it in AP13, the following message displays: "AP Vendor Code: This vendor does not have a GL Account for Distribution. Please add the GL Account through AP13 or choose another vendor."
- Invoice Copy Required - displays whether printed copies of Invoices are required for the Sales Rep. Select 'Yes' to print the Sales Rep's copy of the Invoice through Print Sales-Rep Copy (IN51). Select 'No' to disable the printing of the Sales Rep's Invoices through IN51.
- E-Mail Address - displays the Sales Rep's E-mail address. When IN51 is set up to 'print' to E-mail, the Sales Rep's E-mail address entered here is the destination to which the Invoice is sent. Clicking on the envelope symbol opens Outlook to send an e-mail to the address entered in this field.
- Sales Rep's Web Contact- enter or select from the lookup the Web Contact that is associated with the current Sales Rep.
- Sales Manager - enter or select from the lookup the Sales Manger that is assocated with the current Sales Rep.
- In the System section:
- Creator - displays the user id of the user logged into the system when the Sales Rep code was created.
- Time Created - displays the date and time at which the Sales Rep code was created.
- Modifier - displays the user id of the user logged into the system when this Sales Rep code was last updated.
- Last Change - displays the date and time at which the Sales Rep code was last updated.
