Creating User Master-Role Records via 'Edit with Excel':

Using the 'edit with excel' method, you can create multiple new User Master-Role records at the same time. An existing record (or multiple records) are copied from iTopia to an Excel spreadsheet where you can copy, add and/or edit the records on the spreadsheet as required. When the spreadsheet information is updated, all of the records are automatically copied back into iTopia.

The following list outlines the steps required to create new User Master-Role records using the 'edit with excel' method:

  1. Signed on as the system user, open the User Master-Role view by:

    • Entering user_role in the Search field and then clicking Go.
      OR
    • Selecting the User Management System folder on the main menu, then selecting the Master Tables folder and then selecting 'User Master-Role'.

  2. Enter an existing user name in the User Name field of the Search Criteria section and then click Search. To illustrate the 'edit with excel' method, we will walk through an example:

    • As the example displays, user10 owns four roles. Note: When using this method of adding roles to users, you should select a user that contains the roles you want to apply to the new user.

    • Note: All users automatically own the 'ums_user' and 'personal' Role Names. The 'personal' role cannot be added to any other user. All other roles can be applied to other users.

  1. Following this example, we want to add the 'ibis_ap' and 'ibis_ar' roles that exist for the copied user, user10, and we want to add the role 'ibis_po' to the new user. Since we are using the Edit with Excel functionality in this example, the following steps are required:

    • Select the 'ibis_ap' and 'ibis_ar' roles in the Results section of the grid by clicking on the check box to the left of the User Name field.

    • Click the Use Selected Records as Criteria for Action icon .

    • Select the Edit with Excel option from the drop list.

  2. Excel opens and all of the records from the User Master-Role Search Results page are included on the spread sheet. On the Excel spread sheet:

    • Change the 'User Name' to user105.

    • Now we will add the additional role 'ibis_po' by entering the User Name, user105, in the next available field in the User Name column. Enter the role name 'ibis_po' in the Role Name column next to the User Name. Note: You do not need to enter any information in the 'Full Name', 'Description' or 'Is Personal' columns. These columns are automatically updated once you click Save on the Excel spreadsheet.

    • Ensure that you move the focus of the cursor from the Role Name field to any other field on the spreadsheet and then click on the Save button.

    • Close the Excel spread sheet but do not save it.

  3. Once the status of the records displays as 'Created', you can close the spreadsheet. Note: There is no need to save the spreadsheet. When the following message displays: "Do you want to save the changes you made to 'Book1'. Yes/No/Cancel", select No.

  4. Once you close the spreadsheet, the following message displays in the User Master-Role view: "The data was modified using an external source. Please redo the search to view the latest changes."

  5. If you want to view the new records:

    • Enter the user name(s) for which you created the Roles on the Excel spreadsheet in the User Name field in the Search Criteria section. We will enter user105.

    • Click Search. The new user now owns the 3 roles applied through Edit with Excel.

    • Once you have completed updating the user roles, close the User Master-Role view.
