Total (IN41)
Controls for which payment methods are offered in Order/Invoice/Retail entry for each customer are derived from a combination of the following:
- Customer's Bank code - Currency assignment
- Customer's Terms Code - is EFT payment allowed?
- What Sales Office the transaction is being entered
The customer's Default Payment Method will appear as the transaction's first payment method (if it fits the profile stated above). The default payment method is always On Account when no other default is presented.
At least one payment method must be entered before the transaction can be closed.
Up to two payment methods can be entered for each transaction. They can be the same method (i.e. both the First and Second payments can be VISA, but each could be a different card).
The Pre-Authorization for EFT methods can be entered directly in OE30 or IN41, OR you can leave this field blank, and have the transaction automatically sent to the centralized Payment Processing program (AR39 for Manual and AR38 for Caledon) for processing.
Direct Bill/Credit Notes Payments
Direct Bills and Credit Notes type transactions can be settled by On Account or any EFT payment methods available to the customer. Direct Bill and Credit Notes will work the same as Order Entry (i.e. they must be Authorized prior to printing and can be Authorized manually from within the Totals folder of IN41, or can be released for the Process EFT Authorizations (AR39) program).
Invoicing Orders that already have a Pre-Authorization code:
- The Pre-Authorization is checked to see if it has expired.
- Once the EFT Pre-Authorization exists, the payment methods cannot be changed. If the original order only applied 1 payment method, the invoicing will lock both payment methods from being modified.
- If the invoice total exceeds the original Pre-Auth amount from the original order the difference goes on the "ON ACCT" payment method automatically. This is done behind the scenes, and will not appear in the second payment method (if available). For instance, if there is an order that has VISA as payment method 1, and no second payment method is applied, then the order is invoiced, and the total exceeds the original amount from the Pre-Authorization, then the difference is automatically applied to ON ACCT, but this will not appear in the available second payment method area.
Note: When an invoice with Pre-Authorization is finally accepted and released, the Authorization code must be assigned via AR39 prior to printing the invoice.
