Sales Representatives (SU09_SAS)
The Sales Representatives (ibis_sas) view allows you to define the sales reps which are assigned to customers or prospects in the Customers (ibis_sucu.su13) view. You can also assign sales rep codes to leads in the Lead Master (ibis_crmlead) views.
Assigning sales reps to customers enables you to review and report on customers in sales rep/customer sequence. The sales rep assigned to an invoice is used to extract the appropriate commission rate.
- The sales rep is made up of a sales rep group code and sales rep code. The sales rep groups are defined in the Sales Representative Groups (ibis_sagr) view. The length of both fields is determined during your initial PointForce set up. The sales rep group/sales rep combination can be a maximum of 8 alpha-numeric characters in length. Note: The sales rep field length can be from 4 to 7 characters and is defined in Company Entry (ibis_cc95). If a sales rep has a length of 6 and the total length of the sales rep group/sales rep is 8, then the sales rep group can be maximum of 2 characters in length.
- Note: You can assign a sales rep to multiple sales rep groups.
Note: The ability to create and update information in Sales Represntatives (ibis_sas) is controlled by the permissions (create, read, update and delete) assigned to the resource within the role. This help topic assumes that you have the appropriate permissions to create and update records in Sales Representatives. For more information, see Role Master-Permissions. |
The following list defines every field available in the sales representatives (sas) table in alphabetical order:
- AP Vendor Code - enter or select from the look up an AP vendor code to be associated with the sales rep. This field is validated against the Vendor Master File (AP13) (ibis_apvt) table. Sales reps can be set up as vendors in order for their commission to be run in an AP batch and a check prepared automatically. This interface occurs upon acceptance of the S/A Outstanding Commission Print (ibis_sa56) report.
- If you enter an AP vendor code that does not have a GL account assigned to it in AP13, the following message displays: "AP Vendor Code: This vendor does not have a GL Account for Distribution. Please add the GL Account through AP13 or choose another vendor."
- Company - the company field is available when you create a new sales representative record. The company defaults to the company assigned to your user id in the Session Parameters view. You can change the default company during the sales rep creation process only. Once the sales rep record is created, the company to which the record is associated displays in the General section (at the top of the view).
- Created By - displays the name of the user who created the record you are viewing or maintaining. May not be overridden.
- Created On
- displays the date on which the record that you are creating or maintaining was created. May not be overridden. May also represent the creation date of the records you are attempting to retrieve.
- E-Mail Address - enter an e-mail address for the sales rep in this field. When the Sales Representative Invoice Copy Print (ibis_in51) report is set up to print to an e-mail address, the e-mail address entered here is the destination to which the invoice is sent.
- House Rep Group - (this field is from the Sales Representative Groups (ibis_sagr) table) indicates whether or not the sales rep group assigned to the sales rep is a house rep group. You cannot edit this field.
- A value of Yes indicates that the sales rep group is a house rep group. The sales rep can create shopping carts for all customers.
- A value of No indicates that the sales rep group is not a house rep group. The sales rep can create shopping carts for customers assigned to them in e-Commerce Contact Reference Entry (ibis_ec31) only.
- Invoice Copy Required Flag - indicates whether printed copies of invoices are required for the sales rep. Valid options are Yes or No (default). A value of Yes indicates that printed copies of the invoice are required for this sales rep. A value of No indicates that this sales rep does not required his/her invoices to be printed.
- You can print the sales rep's copy of the invoice through the Sales Representative Invoice Copy Print (ibis_in51) report. Note: Invoice copies print for the primary sales rep only.
- Modification Counter - this field is not maintainable. The date and time the record was last modified.
- Modified By - this field is not maintainable. The user or system process that last modified the record.
- Modified On - this field is not maintainable. The date on which the record was last modified.
- Rep Group - enter or select from the look up the rep group to which the sales rep belongs. This field is validated against the Sales Representative Groups (ibis_sagr) table. Once the record is created, you cannot modify this field.
- Sales Manager - enter or select from the look up the sales manager associated with the sales rep. This field is validated against the CRM Sales Manager (ibis_crmsalmng) table.
- Sales Rep - displays the sales representative group/sales rep code combination. You cannot modify this field.
- Sales Rep Code - enter the sales rep code. The sales rep field length is defined in CC95. You may use an alpha-numeric combination. Each customer is assigned a sales rep code which becomes the default sales rep code on all new sales orders and invoices. (This default can be overridden in OE30, IN41 and RS41.) The sales rep code is used to extract the appropriate commission rate and capture commission statistics. Once the record is created, you cannot modify this field.
- Sales Rep's Web Contact - enter or select from the look up a web contact for the sales rep. This field is validated against the Customer Master (EC30)
(ibis_cmcm) table. This field displays the web contact's numeric code (key), the web contact name displays to the right of this field.
- Salesrep Name - enter the name of the sales rep in this field. Name. The name can be a maximum of 20 alpha numeric characters in length. The sales rep name prints as a report sub-heading whenever an accounts receivable or sales analysis report is printed in sales rep sequence.
- Web Override Sales Source – enter or select from the query an order source for orders generated from shopping carts created in e-Commerce or e-Scan. This field is validated against the Invoice Source (ibis_insc.in04) table.
- If e-Scan is active and the sales rep is not assigned a web override sales source, orders generated from shopping carts are assigned the order source defined in Company Control Initialization (CC00/Evolve e-Commerce/e-Scan Options).
- If e-Scan is not active and the sales rep is not assigned a web override sales source, then orders generated from shopping carts are assigned the order source defined in CC00/Evolve e-Commerce.
