Account Notes Consolidated-Search Criteria/Grid
Account Notes Consolidated-Details Page

 
The Account Notes – Consolidated view allows you to view ALL Notes for the Customer or Prospect in one location. Consolidated Notes include the following notes types:

  • Account Notes - created in the Account Note view.
  • Activity Notes – created in Account Activity->Activity Note view.
  • Case Notes - created in the Case Notes view.
  • Case Activity Notes - created in the Case Activity->Case Activity Notes view.
  • Customer Notes - created in PointForce Enterprise (PFE).
  • Invoice Notes - created in PFE.
  • Lead Notes - created in the Lead Notes view but now exist as Account Notes because the Lead was converted to a Prospect.
  • Order Notes - created in PFE.

The following fields are available on the Account Notes-Consolidated view and are based on the order in which they appear in the grid on the search page:

Note: Because the Account Notes-Consolidated view gives you the ability to review the various note types that exist for one or more Customers or Prospects, you cannot edit any of the fields on this view. You must return to the original Note Type to add, modify or delete any of the Notes from this view.

  • Company - every record in the PointForce iTopia SQL database includes the Company Number. When reviewing the results from your search, the Company Number will display for all records.

  • Customer Code - displays the Customer Code assigned to every account note.

  • Customer Name - displays the Customer name associated with the Customer Code.

  • Account Type - displays the Account Type currently assigned to the customer. There are 2 types:

    • P-Prospect
    • C-Customer

  • Note Source - the Note Source indicates the Account Type of the Customer at the time the note was created. Valid Note Source types include:

    • P - Prospect
    • C - Customer
    • L – Lead

  • Note Type - displays the Type of note. Valid Note Types include:

    • Account - Account Notes
    • Activity - Activity Notes
    • Customer - Customer Notes
    • Invoice - Invoice Notes
    • Lead - Lead Notes
    • Order - Order Notes
    • Case - Case Notes
    • Case Activity - Case Activity Notes

  • Reference - displays a point of reference for the note. Only Order, Invoice, Case notes display a reference as listed below:

    • The Order Number displays as the reference for Order Notes.
    • The Invoice Number displays as the reference for Invoice Notes.
    • The Case Number displays as the reference for the Case Notes.

  • Note Text - displays the Text entered for the note.

  • CRM Note Category - displays the Note Category assigned to the note.

  • Date/Time Created - displays the Date and Time at which the note was originally created.

Accounts Notes - Consolidated - Details Page

When you click on the View Record Details icon Detail for a specific record on the Account Notes - Consolidated Search Results/Grid page, the Account Notes-Consolidated Detail page opens for that record.

The following list defines every field in the Details page:

Note: You cannot edit any of the fields on the Details page of the Account Notes-Consolidated view. You must return to the original Note to make add, modify or delete any of the Notes from this view.

  • In the Main Context section, the Company Number, Customer Code, Note Number, Invoice Number, Sales Order Number and Date/time Created as reference information for the detail record you are viewing.

  • In the General section:

    • Note Type - displays the Type of note entered. Valid Note Types include:

      • Account - Account Notes
      • Activity - Activity Notes
      • Customer - Customer Notes
      • Invoice - Invoice Notes
      • Lead - Lead Notes
      • Order - Order Notes
      • Case - Case Notes
      • Case Activity - Case Activity Notes

    • CRM Note Category - displays the CRM Note Category assigned to the note.

    • Note Text - displays the text entered for the note.

  • In the System section:

    • Creator - displays the user id of the user logged into the system when the record was created.

    • Modifier - displays the user id of the user logged into the system when this record was last updated.

    • Last Change - displays the date and time at which the record was last updated.
