Troubleshooting PO40

Here is a list of common issues:

  • Do I have to type in all of the zeros in the PO number?
    No, you do not have to include the leading zeros when entering a PO number.

  • Do I have to type an 'M' in the Ship To field before I enter a manual address?
    This is the recommended method of entering a manual Ship To address for the PO. However, you can use the mouse and click in the name or address fields and begin entering new Ship To information. The Ship To field automatically changes to MANUAL.

  • Elite WMS is our warehouse management system; when are POs from PO40 (or generated POs from OE30) uploaded to Elite WMS?
    Purchase Orders are uploaded from PFE to Elite WMS when the PO is printed. There are two scenarios in which POs can be printed:

    1. When you run PO42. Note: If you abort PO42, the POs from the current run will not be transferred to Elite WMS.

    2. When the PO is printed/emailed/faxed from PO40 with the 'Treat this PO as Printed' flag selected. The PO is not sent to Elite WMS until the PO is cleared from PO40.

  • Can I recall a PO that has been sent to Elite WMS?
    Yes, the PO can be recalled into PO40 as long as the PO is in the Inbound Order Planning view in Elite WMS. Once the PO is flagged as 'Plan and Receive' in this view, you can no longer recall the PO back into PFE.

    • When you recall the PO back into PFE, the PO is removed from Elite WMS.

    • When changes to the PO are complete, you do not have to reprint the PO. The PO is sent back to Elite WMS when you click Clear in PO40. This only applies to POs that have been recalled.

    • If the 'Recall Printed PO' function is used to recall a printed PO you must reprint the PO and clear it from PO40 before it is resent to Elite WMS.

    • If you try to recall a PO that is being received in Elite WMS, the PO is locked and can no longer be edited in PO40. The following message displays: "This P.O. is currently being received - it cannot be modified. OK".

  • What information from PO40 is sent to Elite WMS?
    The following information is sent from the PO created PFE to Elite WMS (via the file in parenthesis):
    • PO number (ibom_f and ibod_f)
    • Supplier (ibom_f)
    • Supplier Name (ibom_f)
    • Order Date (ibom_f)
    • Required Date (ibom_f)
    • Arrival Date (ibom_f)
    • Order Line Number (ibod_f)
    • Product (ibod_f)
    • Quantity Ordered (ibod_f)
    • Expected Date (ibod_f)

    Note: The only comments sent to Elite WMS for POs are compliance comments related to Dedicated POs created in OE30; specifically:

    • Product compliance messages defined in Product Compliance (OE06) on the 'Default Warehouse Message' folder and flagged as 'Whse Receiving' (ibxd_f)
    • Customer compliance messages defined in Customer Compliance (OE07) on the 'Default Warehouse Message' folder and flagged as 'Whse Receiving' (ibxo_f)
    • Customer/Ship To compliance messages defined in Customer/Ship To Compliance (OE08) on the 'Default Warehouse Message' folder and flagged as 'Whse Receiving' (ibxo_f)

  • Can I link my current PO to any Sales Order?
    You can link the a PO to all sales orders with the following exception: you cannot link a PO to sales orders with an order type of 'Estimate' or 'Draw'. You will receive the following error message: "You may not link Sales Orders with the Order Type Estimate or Draw to Purchase Orders. OK".

  • Can I enter the Hold Warehouse code in PO40?
    Hold Warehouses only apply when Elite WMS is used as the warehouse management system. The warehouse defined as the Hold Warehouse is CC00/Warehouse Management Interface cannot be entered as the 'active' warehouse/sales office in PO40. The Hold Warehouse is used to store RMA items and inventory flagged as on-hold.
