Order Values for Deletion Update (SU61)

The Order Values for Discount Update (ibis_su61) program can be run on demand to calculate and update the current year order value for each customer or to copy the current year to the prior year. The customer's order value (total of all sale order up to the point you ran this SU61 program) displays in Order Value for Discount Check (ibis_oe10) and is used to determine the maximum effective order discount limit (from ibis_oe04) to use when deciding if an order should go on pricing hold or review.

  • Let's walk through an example of how to use this program: at year end you run SU61 and copy the current year to last year. This way the current year and last year have the same value which is used for the first few months of the year when the system is checking to see the discount level to use in Order Discount Limits (ibis_oe04).

  • Part way through the year, you run SU61 to get a more meaningful value for the current year. For example, you run the program in July and enter the dates of January 1 to June 30 in the 'Range of Dates to Analyze' section. If customers are not buying as much as last year they will get put into a different discount category and their order will not 'sneak' past the pricing holds.

  • If you do not enter a date range, PointForce adds the sales for this year to the sales for last year and the result is meaningless. On the positive, you can run SU61 more than once using different date ranges until you get the desired results.

The following list defines every field in SU61:

  • Last Run Date - displays the date and time when SU61 was last run.

  • Run Date that Current Year was Copied - displays the date and time that the current year information was transferred to last year.

  • Copy Current Year to Last Year - select this check box if you want to copy the current year value to the last year field. When you do this the current year and last year are the same value instead of setting the current year to zero. This way there is a meaningful current year value to use when determining discount levels and when determining the orders that should go on pricing hold.

    Note: When this check box is selected, the current system date is compared to the last transfer date and if the date is less then 180 days after the date of last transfer the following message displays: "Warning! Current year information was not transferred less than 180 days ago. OK". Click OK to continue.

  • In the Range of Order Dates to Analyze section, the the First Date and Last Date fields are mandatory and default to First and Last. You can simply tab through these fields to bypass them or you can enter the date range that is relevant, for example January 01/YY to June 31/YY.

  • In the Range of Customers to Analyze section, the First Customer and Last Customer fields are mandatory and default to First and Last. You can simply tab through these fields to select the entire range of customer codes or you can enter a valid customer code range, for example NV200 to NV999 to just calculate the order value for only the Nevada customers.

  • In the Order Types to Analyze section, the Regular, FOB and Sample check boxes allow you to flag the order types that are to be included in the accumulation. By default all three order types are selected.

  • In the Update Current Year section:

    • Only if Greater than Value on File - when selected, sets the current year value to the calculated value only if the calculated value is greater than the value on file.

    • Regardless of Value on File - when selected, sets the current year value to the calculated value or zero, whichever is greater. For example if you calculate all customers from Jan. 1 to Mar. 31 for Regular orders only and the customer has not placed a Regular order this year, then the current year value will be set to 0.
