Troubleshooting 'Elite WMS' Issues in IN41

Here is a list of common issues:

  • Can I invoice an order that has not been shipped through the Elite WMS warehouse?
If the order has not been shipped through Elite WMS, you can still create an invoice for the order but the inventory may be out of balance between Elite WMS and PFE. The following message displays:

    • Select Yes to continue.

    • A password input window opens. Enter the correct password (set up in CC04) for the invoicing module.

    • Note: In some cases, there is a reason (error) that the invoice was not transferred from PFE to WMS. You should check WM45 to ensure that the order was not shipped for a particular reason.

  • When I create an invoice for an order, is the process the same even though I have Elite WMS as my Warehouse management system?
If the order has been processed by Elite WMS, when you enter an order number in IN41 the following message will display:

If you add or edit lines on the invoice that update inventory, the inventory levels between PFE and Elite WMS will become out of balance. The following list identifies scenarios in which inventory balances are affected:

    • If you change the quantity of a line on the invoice that was shipped by Elite WMS.

    • If you change the TAT code from one that updates inventory to one that does not update inventory on the invoice for a line that was shipped by Elite WMS.

    • If you add a new line with a shippable quantity that is assigned to a TAT code that updates inventory on the invoice and the line was not shipped by Elite WMS.

  • Can I delete an invoice?
Yes, once an order has been shipped from Elite WMS, you can delete the associated invoice. The following message displays before the invoice is deleted:

    • Select Yes to continue.

    • A password input window opens. Enter the correct password (set up in CC04) for the invoicing module.

    • You can now regenerate an invoice from the order. Note: If an invoice is not generated from an order shpped by Elite WMS, inventory may become out of balance.

  • Can I recall an order in OE67 once the order has been shipped by Elite WMS?
No, you cannot recall an order in OE67 once it has been shipped by Elite WMS. The following message displays: "Order shipping information has already been uploaded from the WMS - may not recall it. OK".

  • Can I add any lines to an order that has been shipped by Elite WMS without affecting inventory balances?
Yes, the following list defines the type of lines that can be added during invoicing that do not affect inventory balances:

    • Product detail lines with TAT codes that do not affect inventory.
    • Supplementary detail lines.
    • Comment lines.
    • Product detail lines that affect inventory but are fully back ordered.

  • What happens if components for models or assembled sets are back ordered by Elite WMS?
Elite WMS can back order the components for models and assembled sets. When this occurs, two additional lines are added to the invoice: one line for the back ordered product and a second 'comment' line.

    • The customer is billed for the entire model/assembled set, but a back order is produced for the back ordered component(s) with a discount of 100 percent.

    • Here is an example of an invoice with a back ordered component:

    • Here is an example of the BO order component produced from the invoice:

  • Can I still enter Direct Bills and Credit Notes in IN41?
Yes, you can enter both direct bills and credit notes in IN41 when Elite WMS is the warehouse management system. However, if you enter a shippable quantity (either positive or negative) with a TAT code that updates inventory, the following confirmation message displays:

    • Note: Credit Notes should be created through Return Merchandise Entry (IN67).

  • Can I manually invoice an order that has not been processed by Elite WMS?
Unless there is a problem between Elite WMS and PFE, you should not manually invoice an order that has yet to be processed by Elite WMS. Problems for orders processed by WMS can be viewed and retried in WM45.

  • Can I create an RMA in IN41?
If the RMA has not been received by Elite WMS, the following message displays: "This RMA has not yet been received in the WMS, therefore product quantities have not been confirmed. Do you wish to continue anyway? Yes/No".

    • PFE allows you to continue using the RMA even though the quantities are not confirmed in Elite WMS. If you continue to generate the order from the RMA, invoices generated from these RMAs may be incorrect. When the RMA is actually received by Elite WMS, products on the RMA may be only partially received or not received at all.

  • If I continue to generate an RMA that has not been received by Elite WMS, will it impact inventory?
The inventory in PFE will not be impacted as no lines on the RMA update inventory. When an RMA is received in Elite WMS the inventory is updated to the 'Hold' warehouse as defined in CC00/Warehouse Management Interface. Once the hold is removed in Elite WMS, the inventory is moved from the hold warehouse to the associated Elite WMS warehouse.

  • Can I enter the Hold Warehouse code in IN41?
No, the warehouse defined as the Hold Warehouse is CC00/Warehouse Management Interface cannot be entered as the 'active' warehouse/sales office in IN41. The Hold Warehouse is used to store RMA items and inventory flagged as on-hold.
