Create a New Customer Messages (SU24)

 
The Customer Messages (SU24) view allows you to enter and maintain multiple Customer messages. These messages can be:

  • Displayed to the Operator when Orders are taken, during Invoicing, or when Merchandise is returned.

  • Printed on the Sales Order, Invoice or Sales Rep Copy of the Invoice.

Note: The ability to create and update information in Customer Messages (SU24) is controlled by the permissions (create, read, update and delete) assigned to the resource within the role. This help topic assumes that you have the appropriate permissions to create and update records in Customer Messages (SU24). For more information, see Role Master-Permissions.

You can access Customer Messages (SU24) information for an existing Customers or Prospects or you can create a new Customer Message record for a Customer/Prospect. The following fields are available on the Customer Messages (SU24) view and are based on the order in which they appear in the grid on the search page:

  • Company Number - every record in the PointForce iTopia SQL database includes the Company Number. When reviewing the results from your search, the Company Number will display for all Customer records. Note: You cannot modify the Company Number field in the grid.

  • Customer - displays the Customer Code for the Customer Message record. You cannot modify the Customer Code in the grid.

  • Message Number - displays the Message Number assigned to the Customer Message record. You can have a maximum of 99 messages for each Customer. You cannot modify this field in the grid.

  • Message - displays the message text. The message can be a maximum of 1024 characters in length. You can edit the information in the grid by double clicking on the appropriate cell. Once you make the changes, click on the check mark to update the information or you can click on the 'x' to cancel the change request.

Customer Messages (SU24) - Details Page

When you click on the View Record Details icon Detail for a specific record on the Customer Messages (SU24) Search Results/Grid page, the Customer Messages (SU24) Detail page opens for that record.

The following list defines every field in the Details page:

  • In the Main Context section, the Company, Customer Code and Message Number display as reference information for the detail record you are viewing.

  • In the General section:

    • Display Flag - select 'Yes' to have the Message displayed when the current Customer is entered in the Customer field in the following programs:

      • Enter Orders/Quotes (OE30)
      • Enter Invoices/Direct Bills/Credit Notes (IN41)
      • Return Merchandise Entry (IN67)
      • Enter Cash Counter Invoices (RS41)

      Select 'No' and this Message will not display for the Customer in any of these programs.

    • Print on OE34 - select 'Yes' to have the Message printed on Print Shipping Documents (OE34). Select 'No' and this Message will not print on OE34.

    • Print on IN42 - select 'Yes' to have the Message printed on Print Invoices/Credit Notes (IN42). Select 'No' and this Message will not print on IN42.

    • Print on IN51 - select 'Yes' to have the Message printed on Print Sales-Rep Copy (IN51). Select 'No' and this Message will not print on IN51.

    • Print on RS42 - select 'Yes' to have the Message printed on the Print Invoice program for RS41. Select 'No' and this Message will not print on the Print Invoice program for RS41. Note: This option is only available when Retail Sales has been purchased for PointForce Enterprise.

    • Message - enter the message text in this field. The message can be a maximum of 1024 characters in length.

  • In the Reference Information section:

    • Creator - displays the user id of the user logged into the system when the Customer Message record was created.

    • Time Created - displays the date and time at which the Customer Message record was created.

    • Modifier - displays the user id of the user logged into the system when this Customer Message record was last updated.

    • Last Change - displays the date and time at which the Customer Message record was last updated.
