C3 - Account Detail (SU45)

This folder displays all open AR (accounts receivable) items that have not been permanently rolled or transferred into the Payment History folder. Although an open invoice may be paid in full, it remains on this screen until the Delete Paid-Off Invoices (AR87) program has been run.

The main component to this screen is the AR aging summary at the bottom of the screen, which includes an Account Total. The Aging represents overdue balances based on each items terms.

The main body of the folder presents a list box that displays all outstanding open AR items that may be sorted by Invoice Date or Number sequence. The last column of this display represents the Overdue Days for the item. The number represents the Days overdue from the current system run date.

The letter at the far right of each detail line represents the AR Terms Type as entered in Maintain Support Tables (SU09)- Folder 2 Terms.

More detailed information is available by first selecting any one of the detail items, Invoice or Credit Note, then selecting an option to view details of the Invoice, Payments, Installments.

Invoice Button

If you click the Invoice button, the Display Invoice from History (IN45) screen appears for the Invoice/Credit note currently highlighted in the list box.

Payment Button

If you click the Payment button, a popup window displays the detailed payment history itemizing the check or credit note applied with the corresponding payment application date and amount of the payment.

Installment Button

If the item has Installment Terms applied, then this button displays the aged Installment due dates applicable to each Installment Term as maintained in the SU09 Terms folder.

Create Collection Letter Button create letter

The Create Collection Letter button accesses the Automated Collection Letter created within Microsoft Word. To customize the collection letter, edit the Microsoft Word Document Template located at c:\winsol\forms\SU45Collection.dot. Each Client workstation has its own copy of this template. For more information on Microsoft Word Document Templates refer to Microsoft Word Help.
If you customize your template:
  • Keep a backup copy to ensure that it can be restored in the event that you move from one system to another or are required to re-install your Client software.
  • To share the customized template, forward a copy of the template to each user requiring the changes and replace the existing c:\winsol\forms\SU45Collection.dot.

Sort by : Invoice number or Invoice date

By keying in a specific invoice number in the Invoice ListBox List Cache entry field located in the right hand corner of the folder, the display will start at that invoice number.
