Disqualification Messages

The Delete Inactive Customers (SU16) program purges the Customer Master files of any customers that are flagged for deletion. If the Customer has Sales History (including Invoice History), an outstanding account balance, outstanding Orders or is assigned in a variety of other master files, then the Customer will not be deleted.

The Deletion process will not begin if either of the following conditions exist:

  • An unprinted Invoice Register exists in Print Invoice Register (IN44).
  • Unprinted Cash Receipt Batches exist in Print Cash Receipts/Adjustments (AR31).

If either condition exists, you must first print IN44 or AR31 and then run SU16 in order to delete the Inactive Customers.

When a Customer is flagged for deletion in Maintain Customer Master (SU13), the Status Code for the Customer is set to D. SU16 looks at all Customers with a Status of 'D' and verifies that each Customer is eligible for deletion.

  • All processes that affect Customer balances must be completed prior to running SU16. All files that are updated or are affected by Customer processing are read to ensure that there are no unfinished processes. In other words, the Customer cannot have any outstanding Orders or unpaid Invoices.

  • Customer Sales History is retained on a rolling basis for a period of twenty-four (24) months. Customers will not be deleted if they have Sales History or if they have records in the Invoice History file.

  • When a Customer flagged for deletion has qualified for deletion, the Customer is purged from the Customer Master file and all corresponding cross-reference files.

  • An audit trail is automatically printed when the purge is completed. The audit trail reports Customers that were successfully deleted as well as Customers that were skipped and the associated disqualification message. For more information on Disqualification messages, click here.

    Note: The Execute Customer Recode/Merge (RM85) can be used as alternate way to clear out obsolete Customer codes.
